Participants

Add participants, set roles, and manage who's part of the tracker.

Adding Participants

Tap Add Participant from the Participants tab. Pick someone from your contacts or create a new one. From the participant form you can:

  • Set their role (defaults to the tracker's default role)
  • Configure Opted-Out Categories (on even-split trackers without category splits)
  • Adjust daily presence weights (on prorated trackers)

Inviting Unregistered Users

You can add someone who doesn't have Tabello yet. If they have an email, toggle Send invitation to send them an invite link. Their expenses and balances will be waiting when they accept.

If the contact doesn't have an email, you can add one from the participant form before sending. While the invitation is pending, the participant form shows the status so you know it's been sent.

Roles

Roles control what someone can see and do.

The tracker creator is always the Owner with full control — manage participants, modify settings, change roles, edit any expense, record any payment. Owner cannot be assigned to other participants.

No Access means the participant exists for expense allocation only. They can't view or interact with the tracker, even if they have a Tabello account.

The tracker's default role applies to new participants unless overridden per-participant. Changing the default role is not retroactive — existing participants keep their current role. The owner can change any participant's role at any time from the Edit Participant screen.

Removing a Participant

Only the tracker owner can remove a participant. Here's what happens when you do:

  • Expenses created by or paid by that participant are deleted
  • Expenses where they were the only remaining participant are deleted
  • Other expenses: the participant is removed and allocations are recalculated among remaining participants
  • If the tracker uses Category Splits, shares are proportionally redistributed
